About The Position

This position is located in Jacksonville, FL. This is an independent position in the Business Planning Program responsible for a variety of administrative and business activities. Duties include, but are not limited to: Finance & Accounting (Primary), Welcome Desk & Administrative Assistance, Procurement, and Document Management & Records Requests. The role involves coordinating accounts receivable functions, serving as the collections officer, assisting with fees associated with enforcement accounts, monitoring requests in DEP_NED, providing welcome desk coverage, maintaining and procuring office and field supplies, performing procurement functions, converting paper documents to electronic records, and responding to public records requests. The position also performs related duties as required by management.

Responsibilities

  • Coordinates all accounts receivable functions for the district, including cash receiving, receipting, journal transfers, correction adjustments, refunds, outstanding warrants, collection of payments due, cash listing and direct deposit. Deposits revenue on a weekly basis.
  • Serves as the collections officer for the district.
  • Assists with the handling and tracking of fees associated with enforcement accounts, including in-kind status updates, case closures and collections and/or write-off efforts.
  • Monitors requests/assignments in DEP_NED in support of the district’s regulatory programs as required and ensures timely completion of requests.
  • Provides coverage at the welcome desk as requested.
  • Maintains and procures office and field supplies for the district.
  • Performs procurement functions utilizing the purchasing card and MyFloridaMarketPlace system.
  • Converts paper documents to an electronic document of record by using the department’s electronic document management system (Oculus). This process may include document preparation, document scanning, validation, and quality control/quality assurance. Maintains compliance with DEP 335, Records Management.
  • Responds to public records requests per district standard operating procedure, and in compliance with DEP 335, Records Management.
  • Performs related duties as required by management.
