About The Position

Summit County is recruiting a full-time Public Health Administrative Assistant to work in the Coalville office. This individual will perform a variety of full performance, complex secretarial, technical clerical and general administrative duties as needed to expedite the administrative processes of the public health department. Works under the general supervision of the Health Director or their designee. Provides immediate to general supervision to Clinical Aide(s) while in training or on a project-by-project basis. May hire Administrative Assistant l or ll depending on submitted qualifications and experience.

Requirements

  • Graduation from high school plus two (2) years of specialized training provided through college, seminars, workshops, in-service, or on-the-job training; AND Six (6) years of directly related experience, OR An equivalent combination of education and experience.
  • Must possess a valid Utah State driver’s license.
  • Must be able to demonstrate proficiency and accuracy in keyboard operations.

Responsibilities

  • Coordinate with department heads to establish and maintain state contracts and grants.
  • Monitor contract revenues and expenditures; prepare reimbursement reports for the state health department and maintain contract ledgers.
  • Assist department directors with annual budget preparation and recommend budget needs and line items.
  • Manage correspondence, filing systems, office operations, and office/medical supply inventory.
  • Answer phones, direct inquiries, greet program participants, and schedule and confirm clinic appointments.
  • Represent department leadership at meetings by taking notes and coordinating administrative materials and position papers.
  • Assist in developing departmental policies and procedures related to administrative and clerical support.
  • Maintain databases and records for public and environmental health programs; generate reports, charts, and graphs.
  • Coordinate accounts payable, prepare payment vouchers, and maintain contracts for contract personnel.
  • Monitor program budgets to ensure compliance with spending limits.
  • Prepare agendas, attend Board of Health meetings, record and transcribe meeting minutes, and distribute supporting materials.
  • Coordinate schedules, duties, and leave requests for Clinical Aides in collaboration with the Nursing Supervisor.
  • Maintain Summit County vital statistics records, including birth and death records.
  • Participate in emergency preparedness exercises and drills; fulfill assigned emergency response duties when activated.
  • Perform other related duties as assigned.
