The Administrative Assistant I serves as a point of contact for facilities and IT/phone work orders, assists in distributing mail, and is responsible for various administrative tasks including online directory upkeep, calendar maintenance, state vehicle reservations, office supply orders, GatorOne ID authorizations, and the creation of UFID's and affiliations for external researchers. This role also involves maintaining departmental staff lists, organizational charts, and contact information. A key responsibility is tracking and monitoring required training for the department annually and communicating compliance. The position provides high-level customer service as a liaison for UF | Research’s support units and maintains employee personnel files, ensuring accuracy and adherence to records retention requirements. In Human Resources, the assistant processes new hires, job edits, reclassifications, terminations, and reviews time and labor for assigned departments. The role also provides direct assistance to the Director for Human Resources with various administrative duties, errands, scheduling, and special projects. The Administrative Assistant will be cross-trained to support all office areas during peak workloads and is responsible for coordinating the annual service pin award ceremony.
