About The Position

Lennox National Account Services (NAS), a major national player in the Commercial Heating Ventilating and Air Conditioning (HVAC) maintenance and service industry, is seeking an Administrative Assistant. NAS is a wholly owned subsidiary of Lennox International, a 120+ year old company and a world leader in the HVAC industry. With over 100 offices across the continental United States, NAS is experiencing significant growth and expansion, with plans to double its branch offices and increase annual revenue in the next five years. This role provides general administrative support to the branch manager, assists in coordinating activities of employees involved in maintaining, servicing, and installing commercial HVAC equipment, and plays a key role in scheduling, dispatching, and customer service.

Requirements

  • High school diploma or an equivalent combination of education and experience.
  • 2+ years experience in an administrative position or dispatch role preferred.
  • HVAC industry or Service trade industry preferred
  • Proficient in Microsoft Word, Excel and PowerPoint.
  • Must be able to prioritize work, work on multiple tasks and maintain organization
  • Must be self-directed, excellent customer service skills.
  • Keen ability to organize and prioritize duties.
  • Strong written and verbal communication skills.

Responsibilities

  • Provides general administrative support to the branch manager, exercises judgment in decision making, has knowledge of branch process and procedures and assist in the coordination and activities of employees engaged in maintaining, servicing and installing commercial HVAC equipment
  • Schedules and coordinates service and maintenance calls for multiple service technicians.
  • Dispatches service technicians on a daily schedule
  • Processes and bills completed service invoices
  • Orders parts as necessary and schedules return service calls
  • Quotes the customers on repairs as needed
  • Keeps customers updated on service calls through multiple websites and other tools
  • Provides maximum customer service, accurate communication, and courtesy to all co-workers, management and customers
  • Other duties as assigned
