About The Position

American Residential Services (ARS), the nation’s largest provider of residential HVAC, plumbing, and electrical services, is seeking a detail-oriented Administrative Assistant to support their Laurel, MD office. With over 7,000 team members and more than 45 years of experience, ARS delivers trusted home comfort solutions nationwide. This role provides critical administrative support to both the HR Manager and Installation Department, helping ensure smooth daily operations, accurate documentation, and strong internal coordination. Requirements

  • High school diploma or GED required
  • Previous administrative or office support experience
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities and meet deadlines
  • Excellent communication and customer service skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Ability to handle confidential information with professionalism
  • Team-oriented mindset with a willingness to support multiple departments

Nice To Haves

  • Additional administrative training or education preferred
  • HVAC or service industry a plus

Responsibilities

  • Provide administrative support to office leadership, HR, and Installation teams
  • Process and validate HVAC and plumbing installation paperwork for accuracy and completion
  • Assist with HVAC Installation and Plumbing commission tracking and documentation
  • Answer phones and communicate with customers, vendors, and internal teams professionally
  • Prepare and manage new hire packets and assist with onboarding coordination
  • Maintain organized filing systems (digital and physical) for employee and job records
  • Manage office equipment and inventory, including phones and tablets for field staff
  • Assist with scheduling, reporting, and general office coordination
  • Support data entry, document preparation, and internal communications
  • Maintain confidentiality while handling sensitive employee and operational information
