About The Position

This position is directly responsible to the Service Extension Director and assists in the total operation and function of the Service Extension Department. This position is responsible for assigned accounting tasks on behalf of the Service Extension Department. This position is also responsible to write and submit grant proposals and grant reports on behalf of the Service Extension Department.

Requirements

  • High school diploma or equivalent (required)
  • CA driver's license (required)
  • Experience with Microsoft programs
  • Experience in accounting
  • Detail oriented

  • Ability to work independently and with minimum of supervision
  • Ability to lift up to 25 lbs. (usually file boxes)

Nice To Haves

  • Experience as an Administrative Assistant (preferred)
  • Bachelor’s degree (preferred)
  • Knowledge of accounting software (preferred)

Responsibilities

  • Input into the finance programs; AP Workflow and kettle program
  • Receive and review deposit information from units and resubmit to the finance department
  • Enter data for various ledgers, journals, revenue deposits, etc.
  • Maintain computerized A/P. A/R and checkbook modules to review and process invoices, statements, check requests, and expense reimbursements for payment
  • Review various transactions for accuracy, proper coding
  • Code and/or review revenue and expense coding on vouchers, invoices, and petty cash charges
  • Maintain up-to-date vendor/ unit files
  • Provide technical assistance in monthly, quarterly, and annual G/L closings
  • Provide assistance with external and internal audits
  • Review literature funds available through grants from governmental agencies and private foundations
  • Discuss program requirements and sources of funds available
  • Confers regularly with personnel affected by the proposed program to develop program goals and objectives, outline how funds are to be used, and explain procedures necessary to obtain funding
  • Write and submit grant applications
  • Meet with representatives of funding source
  • Submit proposals to officials for approval
  • Direct and coordinate evaluation and monitoring of grant-funded programs and write specifications for evaluation or monitoring of programs by an outside agency
  • Write and submit periodic reports to comply with grant requirements
  • Maintain up-to-date master files on grants
  • Monitor paperwork connected with grant-funded programs
  • Maintain and report relationships with funding agencies
  • Other related duties as required
