Requirements

  • Relevant post-secondary education in the area of office administration or a related field.
  • 2 years of experience organizing business events and coordinating logistics.
  • 1 year of experience supporting an Executive Director.
  • Strong proficiency in Microsoft Word and Excel, including formatting, tracking, and document production.
  • Experience managing invoices, expenses, and basic financial processes.
  • Proven ability to organize meetings, events, and logistics, including room bookings and coordination.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities and work independently.
  • Experience with records management, both digital and physical.
  • Ability to produce accurate, well-formatted documents and identify errors prior to finalization.

Nice To Haves

  • 2 years of experience working in a government or public sector environment.
  • 1 year of experience working in an information management environment.
  • 1 year of experience working in a data, analytical, or technical team environment.
  • 2 years of strong meeting support experience, including agenda preparation, minute-taking, and follow-ups.
  • 2 years of experience creating PowerPoint presentations.
  • 2 years of experience proofreading and formatting Word documents in a professional work setting.
  • 2 years of experience with and knowledge of financial reporting, ensuring accuracy.
  • 1 year of experience processing and reviewing expenses.
  • Familiarity with financial or administrative systems, such as expense processing or invoice tracking tools.
  • Experience preparing professional documents, briefing materials, or memos.
  • Demonstrated ability to anticipate needs and proactively support leadership.

Responsibilities

  • Provide day-to-day administrative support to managers and staff in a fast-paced environment.
  • Prepare, format, proofread, and finalize accurate and professional documents.
  • Manage invoices, expenses, and basic financial and administrative processes.
  • Coordinate meetings, events, and logistics, including room bookings and scheduling.
  • Maintain and manage digital and physical records in accordance with records management practices.
  • Support written and verbal communications across the team.
  • Manage multiple priorities while working independently and meeting deadlines.
  • Provide effective coordination and follow-up on administrative activities.

Benefits

  • Hourly salary of $30-33, based on experience.
  • 6-month contract with a maximum extension term of 6 months.
  • Full-time position: 36.25 hours per week.
  • Weekday schedule from 8:15 am to 4:30 pm.
  • On-site work in a dynamic environment.
