About The Position

We are seeking a reliable, level-headed Administrative Assistant – Forms Distribution to support our high-performing sales team in a fast-paced, high-ticket sales environment. This role is critical to the sales engine: you will receive, organize, and distribute leads to sales closers exactly as directed by the Sales Director. The ideal candidate thrives in a dynamic setting, stays calm and professional under pressure, and does not get rattled by pushback from the sales team. You are highly organized, solutions-focused, and understand that consistent, accurate lead distribution directly impacts revenue.

Requirements

  • Proven ability to remain calm, professional, and level-headed when dealing with high-pressure situations.
  • Strong organizational skills and exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to follow instructions precisely while exercising good judgment.
  • Experience in an administrative, sales support, or coordination role (1–3 years preferred).
  • Proficiency with CRM systems and Microsoft Office/Google Workspace.
  • High school diploma or equivalent required.

Responsibilities

  • Receive and process incoming leads from multiple channels (phone, email, web forms, CRM, etc.).
  • Accurately distribute leads to the appropriate sales associates according to the Sales Director’s assignment rules and territory guidelines.
  • Maintain detailed tracking of lead distribution, status updates, and handoffs.
  • Act as the central point of contact for lead-related questions between the Sales Director and the sales team.
  • Proactively monitor lead volume and flag any irregularities or bottlenecks to the Sales Director.
  • Handle sales team inquiries and occasional complaints about leads with professionalism and composure.
  • Update CRM records and generate simple reports on lead flow as requested.
  • Perform general administrative duties to support the sales department (scheduling, documentation, filing, etc.).
  • Ensure all lead distribution activities comply with company policies and data privacy standards.
