About The Position

Under the supervision of the Director of Physical Therapy, the Administrative Assistant for Physical Therapy is responsible for supporting the College of Health Sciences and the Physical Therapy Department. This role involves managing front desk operations, coordinating events, maintaining financial records, directing students to resources, serving as a faculty liaison, assisting with records management, coordinating recruitment materials, and managing office files and mail for the Physical Therapy Department.

Requirements

  • High school diploma
  • Prior experience and familiarity with Microsoft Office Professional software (Word, Excel, Outlook, PowerPoint etc.)
  • Ability to manage departmental electronic One Drive files
  • Must be punctual and able to work required hours
  • Excellent organizational and interpersonal skills
  • Courteous, professional customer service skills
  • Ability to work independently, complete multiple assignments, meet deadlines, exercise good judgment, demonstrate tactfulness and discretion, and maintain confidentiality
  • Excellent verbal and written communication skills
  • Ability to solve problems effectively

Nice To Haves

  • Associates degree or higher
  • Prior experience in secretarial/administrative assistant duties
  • Experience in graduate level student affairs, academic affairs, or medical education

Responsibilities

  • Manage front desk operations of the Physical Therapy Department including greeting visitors, answering and directing calls, maintaining office equipment and inventory.
  • Schedule, coordinate, and manage physical therapy department events.
  • Maintain and enter accurate financial accounting records for the physical therapy department.
  • Direct students to on campus resources including mental health counselors, academic success counselors, tutors, student affairs, library, etc.
  • Serve as a faculty liaison for test proctoring, scheduling, and other necessary services.
  • Assist the Director in records management related to admissions, clinical operations, and daily operations of the physical therapy department.
  • Coordinate preparation and distribution of physical therapy recruitment materials and other materials.
  • Assist in the administration, security, confidentiality and retention of office files.
  • Collect and distribute mail for the Physical Therapy Department.
  • Other duties as assigned.
