Requirements

  • Completion of a formal post-secondary/college program of one academic year
  • Two years of prior related work experience, including, administrative experience and experience dealing with office equipment and tools.
  • Excellent computer skills in Microsoft Office (Word, Excel & Outlook) are essential
  • Strong sense of Integrity and confidentiality with professional ethics and a balanced sense of fairness and flexibility.
  • Demonstrates an ability to work independently and collaboratively with others
  • Must be well-organized, adaptable and professional.
  • Must have a strong ability to handle confidential information appropriately, be discreet, and be diplomatic.
  • Excellent written and verbal communication skills.
  • Respect and understanding of The Salvation Army – its mission, culture and values.
  • Physical ability to carry out the demands of the position.
  • Ability to lift weights of up to 20lbs on occasion
  • Attention to detail, problem solving and analytical skills.

  • This position requires the successful candidate to have a valid driver’s license and an acceptable driver’s abstract.
  • The successful candidate would have to provide proof upon being hired.

Responsibilities

  • Drafts and types correspondence (e.g, letters dealing with administrative issues, dictation, acknowledgements); checks typing for accuracy, sorts and prioritizes typing assignments within general guidelines; researchers and responds to difficult enquiries on behalf of supervisor.
  • Performs general office duties such as answers and screens telephone calls and directs enquiries and answers inquiries; greets and escorts visitors; files documents electronically or manually; photocopies and distributes materials as requested; and sends and receives fax/email material as requested; resolves routine inquiries.
  • Handles and ensures the protection of extremely confidential and sensitive employee/officer, client and/or program files
  • Builds and maintains employee databases
  • Drafts and prepares presentations, brochures, fliers, advertisements, invitations and certificates subject to supervisory approval (eg. Power point presentations).
  • Schedules meetings, prepares agenda, and takes minutes; type and circulates minutes.
  • Makes decisions on routine and urgent administrative matters in the absence of the supervisor.
  • Keeps all personnel files up to date.
  • Enters all employee information into payroll database.
  • Complete orientation of new employees.
  • Processes WCB claims, Health Benefits & RRSP applications.
  • Complete timesheets
  • Answers questions from Employees regarding payroll
  • Prepares and receives all paperwork for various projects and processes specifically related to Human Relations
  • Create and maintain list of reports required for health and safety compliance purposes.
  • Is involved with all parts of Job Postings eg. Advertising, scheduling interviews, interviews and completing reference checks
  • Support external reporting requests as needed.
