The Department of Financial Aid is seeking an Administrative Assistant to serve as the first point of contact for the Department. In this role, the assistant will work to provide a high degree of discretion and confidentiality to guide the students with the financial aid process. Additional duties include but not limited to: Receives students and visitors, answers telephone, maintains multiple financial aid email accounts, and overall cleanliness of front-line area. Receives and appropriately distributes incoming mail. Ensures confidentiality of all student records in accordance with FERPA regulations. Adheres to and keeps current on federal, state, and institutional policies and regulations. Scans and maintains orderly files of a wide variety of documentation in both paper and electronic forms, including all student records. Ensures all required documents are present. Assists in contacting students to resolve their remaining balances. Reviews and resolves issue queues (loans, appeals, etc.) regularly. Assists with setup of communication management documents and processing all email correspondence. Assists students regarding their suspension status and procedures on how to submit information in a timely manner. Assists with suspension status updates in the system and sends student determination emails after Committee meets. Works with External Locations to ensure a smooth process in collecting necessary financial aid forms. Contacts students to ensure files are complete for accurate payment of student financial aid. Assists students in completion of paperwork, FAFSA, FSA-ID, student loan information, etc. Trains and supervises student workers as well as maintains work schedule and approves time sheets for student workers.
