About The Position

This is a FlexSteel position located in Baytown, TX. The role reports to the Head of Field Services and requires experience in field-related administrative activities. The Administrative Assistant is responsible for preparing and maintaining location documentation and providing administrative support to location personnel, including regional-based personnel. The individual in this position must use initiative and judgment in arranging job details to achieve predetermined objectives.

Requirements

  • High School Diploma or equivalent required.
  • Three (3) to five (5) years of experience preferred.
  • Intermediate language skills, mathematical skills, and intermediate reasoning ability.
  • Strong verbal and written communication skills.
  • MS Word, Excel, and Outlook proficiency.
  • Ability to multi-task and maintain deadlines.
  • Ability to build solid working relationships with customers, vendors, and interface with associates in all departments.
  • Pre-employment drug screening.

  • Safety certifications.
  • Valid driver's license.
  • Ability to wear personal protective equipment (PPE).
  • Working in various weather conditions.
  • Travel to remote locations.

  • Experience in field related admin activities highly preferred.

Responsibilities

  • Provide general administrative and clerical support including mailing, scanning, faxing and copying.
  • Maintain document libraries in both printed and electronic forms.
  • Schedule and coordinate meetings, appointments and travel arrangements.
  • Prepare and modify documents, including correspondence, reports, drafts, memos and emails.
  • Prepare support materials for all Services training requirements and new hire on-boarding.
  • Maintain field staff SalesForce profiles, including but not limited to Certifications, Applications, safety training records, Customer orientations, etc.
  • Validate field staff hour reporting documented on daily field tickets, including HSE documents.
  • Coordinate event planning as well as meal ordering for special events.
  • Maintain office supplies.
  • Special projects or assignments as directed by management.
