About The Position

The Calgary Stampede is looking for an Administrative Assistant who is a true collaborator that is passionate about supporting employee safety. We are looking for someone who enjoys getting into the details and recognizes how that makes the workplace safer. The Administrative Assistant, Employee Health & Safety, is a member of the Employee Safety team responsible for supporting the Occupational Health & Safety Advisor and Director. This role is responsible for the administration and clerical functions primarily related to WCB claims, employee onboarding related to safety, inspections, near-miss hazard reporting, safety observations, and incident reporting. This year-round, part-time position typically offers 30–35 hours per week, although hours cannot be guaranteed. We provide flexibility in scheduling while requiring a reliable and predictable availability pattern. During the annual Calgary Stampede, you'll have the opportunity to step into a more active role, working 40+ hours per week for approximately 3–4 weeks as we support the preparation, execution and tear-down of the celebration.

Requirements

  • Previous experience working in professional office environment considered an asset
  • Previous experience working within human resource information systems, learning management systems, and safety reporting software
  • Excellent organizational skills and high attention to detail, with an ability to think proactively and prioritize work
  • Intermediate level skills in Microsoft Word, Smartsheet and Outlook are essential.
  • Advanced level skill with Excel: Produce training reports utilizing Pivot tables, formulas, and slicers

Responsibilities

  • Collect and publish training related records to ensure compliance during onboarding and recertifications.
  • Coordinate with People Leaders to ensure employees have the required training for their position.
  • Prepare and submit WCB claims on behalf of the employer and support employees with filing their own claims. Track the number, correspondence, healthcare reports, and status of each claim.
  • File management related to hazard reports, incident reporting, inspections, and contractor safety documentation.
  • Promote a culture of safety across the organization with a particular focus on new and young worker safety
  • Produce post-event safety reports and charts that summarize OHS activities.
  • Perform data entry, list management, and budget tracking for a variety of projects
  • Perform various administrative duties and clerical functions
  • Support special projects and program initiatives as assigned
  • Manage reports, inspections, incidents, and employees in eCompliance
