About The Position

The Administrative Assistant - Division is responsible for handling a wide range of administrative and support related to division needs.

Requirements

  • Minimum age 18 years old.
  • Valid driver’s license required and obligation to maintain compliance with UNITED fleet policy.
  • Personal Protective Equipment (PPE) as required by position and compliance with UNITED safety policies.
  • Regular and prompt attendance is an essential function of the job.
  • Ability to read, write and speak English.
  • Ability to maintain a neat professional appearance within Company guidelines.
  • Ability to maintain safety and security of Company assets.
  • Ability to utilize all Company provided resources and technology.
  • Associate degree (A. A.) or equivalent from two-year College or technical school; or 2 plus years related experience and/or training; or equivalent combination of education and experience.
  • Ability to create and prepare professional presentations.
  • Ability to thrive in a fast-paced environment supporting multiple managers.
  • Ability to work independently as well as be a collaborative member of a team.
  • Ability to work well with stakeholders at all levels of the organization.
  • Ability to handle highly confidential and non-routine information ethically and sensitively.
  • Working Knowledge of Microsoft Office Suite.
  • Working knowledge of ERP systems such as SAP, software programs, and reporting systems.
  • Ability to learn, interpret, and explain company policies and procedures.
  • Ability to demonstrate independent judgment, strong sense of ownership, positive attitude, self-motivation and strong accountability.
  • Excellent written and verbal communication skills.
  • Superior organization and time management skills.

Responsibilities

  • Generating high quality emails and documents that will be distributed to individuals at all levels of the organization.
  • Providing exceptional customer service.
  • Coordinating the Division Directors schedule; prioritizing functions and appointments, ensuring that meetings, deadlines, presentations, and other duties of the division are carried out seamlessly.
  • Providing support to any projects and coordinating meetings, sales rallies, and business activities for location.
  • Demonstrating a proactive approach to problem-solving with strong decision-making capability.
  • Providing administrative support to include travel arrangements, meeting arrangements, expense report processing, reporting, calendar management and other administrative tasks.
  • Responsible for Margin Minder Reports.
  • Ordering items for division as assigned.
  • Performing appropriate duties as assigned by management.
