About The Position

This is a part-time, home-based position for an Administrative Assistant/Bookkeeper at a consulting firm in the US. The role involves managing project schedules, coordinating operations, handling daily reports and timesheets, preparing documents, managing budgets, general bookkeeping, and providing administrative support to both office and field teams.

Requirements

  • Proficiency in developing and maintaining project schedules.
  • Experience in coordinating office and field operations.
  • Skilled in daily report and timesheet management.
  • Ability to prepare and edit meeting minutes, presentations, and tables.
  • Experience in scheduling team deployments and communication.
  • Proficiency in filing project documents.
  • Experience in managing project budgets.
  • General bookkeeping skills.
  • Ability to provide administrative assistance to teams.

Responsibilities

  • Develop and maintain a detailed project schedule, which includes administrative tasks and all sites involved in the project.
  • Participation in Team Meetings
  • Ensure coordination of the interfaces of office and field operations
  • Daily Reports and TimeSheet Management - Collecting daily reports from each consultant in the field each day. Making sure the entire report is completed, adding a space on the report for pictures and JHA. Each week, compiling timesheets and submitting them to client and internal accounting
  • Prepare and/or edit meeting minutes, presentations and tables
  • Schedule deployment of team and communication
  • File all project documents
  • Manage the project budget
  • General bookkeeping
  • Administrative assistance to office and field teams
