About The Position

The administrative assistant B is responsible for aiding research study team to execute human subject research carried out in the Movement Disorders Division of the Neurology Department. The administrative assistant will work closely with research coordinators, helping them prepare for research study visits. Key tasks that require their oversight include making subject study binders, preparing subject visit kits, filing paperwork, and shipping biological samples. This role will also assist study leadership with preparing invoices, coordinating and planning team building activities, and patient outreach activities. They will also assist their leaders with other administrative tasks as needed.

Requirements

  • High School Grad/GE Degree and 3 to 5 years of experience or equivalent combination of education and experience is required.
  • Excellent interpersonal and communication skills (required)
  • Must be able to exercise discretion with confidential information (required)
  • Highly organized and flexible (required)
  • Ability to work independently and on a team (required)
  • Previous administrative experience, 2-3 years (required)

Nice To Haves

  • Knowledge of PC applications (Microsoft Office, etc.) (preferred)

Responsibilities

  • Managing/ monitoring and maintaining the inventory of equipment and supplies related to studies
  • Providing assistance on other research studies as needed
  • Ship study samples
  • Maintain scheduling calendars
  • Help prepare invoices for study procedures
  • Order supplies as needed
  • Communicate with team members and assess daily administrative needs
  • Attending relevant meetings, events, and seminars
  • Other tasks and responsibilities as assigned
