About The Position

The University of Nevada, Reno (UNR) is recruiting for an Administrative Assistant 4 for the Parking and Transportation Services Department. This position serves as the Front Office Manager for the Parking Services Department, responsible for the managerial functions of the office staff. The role provides administrative support to the Assistant Director and Director, oversees daily operations of the front office, manages various financial processes, and assists customers with complex situations. This position also enforces campus parking policies and procedures tactfully and consistently.

Requirements

  • Graduation from high school or equivalent education.
  • Four (4) years of progressively responsible relevant work experience, including experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources.
  • OR One (1) year of experience as an Administrative Assistant III in Nevada State service.
  • OR An equivalent combination of education and experience.
  • A valid Class “C” driver’s license or higher operator’s license is required at the time of appointment and as a condition of continuing employment.

Responsibilities

  • Manage front office staff, including hiring, feedback, performance evaluations, training, managing time off requests, assigning tasks, ensuring task completion, and providing back-up support.
  • Oversee daily front office operations, including daily cash drawer balancing and deposits, identifying and correcting discrepancies, coordinating annual permit purchases, configuring parking permits in the system, determining permit availability and eligibility, and coordinating permit distribution.
  • Address customer concerns, complaints, and escalated issues promptly and professionally.
  • Manage high-level front office financial transactions such as citation void requests, investigate payment errors, process corrections, review payment duplication, and process P-card reconciliation for department credit cards.
  • Coordinate and oversee citation collections, including processing monthly citation notifications.
  • Manage the payroll deduction permit process, including processing cancellations, exchanges, and refunds; reviewing delinquent payments and employee separations; and coordinating the return of parking permits.
  • Oversee campus parking inventory as the permit inventory manager, including annual review and updates, allocation of permits, drafting annual reserved space invoices, monitoring payments, reviewing permit sales, and updating published campus maps.
  • Manage the internal Campus Sign Map, ensuring accuracy of inventory changes and reserved signage.
  • Coordinate with the Field Supervisor regarding construction projects and the Special Event Coordinator for event parking.
  • Maintain calendars, coordinate training events, prepare and take notes for meetings, and handle internal and external customer service issues.
  • Serve as the Secretary of the Parking and Traffic Board, overseeing communications, coordinating meetings, and preparing meeting minutes.
  • Other duties as assigned.
