About The Position

The Division of Occupational Safety and Health (DOSH) Compliance is seeking a highly organized and motivated Administrative Assistant 4 to provide critical administrative support to statewide leadership and staff across Washington. This role serves as a trusted partner to executive leadership, coordinates high-level operational activities, manages sensitive and confidential information, supports budget and travel processes, and helps ensure statewide compliance operations function efficiently. The ideal candidate is exceptionally organized, detail-oriented, able to work independently, skilled at multitasking, a strong communicator, has a strong work ethic, is comfortable handling confidential information, adaptable, resourceful, calm under pressure, and proficient in Microsoft Word and Excel.

Requirements

  • Proficient with specific software programs such as MS Word, Excel, SharePoint, PowerPoint.
  • The ability to take action to learn and grow.
  • The ability to take action to meet the needs of others.
  • Four years of progressively responsible clerical, office, or administrative experience OR A bachelor’s degree in business administration, public administration, or a closely related field OR One year as an Administrative Assistant 3 or two years as an Administrative Assistant 2 OR Equivalent education and/or experience

  • Bilingual or multilingual skills are highly desirable.

Responsibilities

  • Provide executive-level administrative support to DOSH Compliance leadership
  • Manage calendars, schedules, assignments, and statewide coordination efforts
  • Communicate professionally with managers, staff, and external customers
  • Draft, edit, and review correspondence and reports
  • Track program spending and assist with budget-related activities
  • Coordinate travel processes and reimbursement documentation
  • Serve as a resource on administrative procedures, policies, and systems
  • Maintain confidential and sensitive information with discretion and professionalism
  • Support special projects and help solve operational challenges as they arise
  • Utilize Microsoft Word, Excel, SharePoint, and other systems to organize and manage work efficiently
  • Provide bilingual Spanish/English support to employees and customers as needed
