About The Position

Within the context of a client centered care model and in accordance with established vision and values of the organization, the Administrative Assistant is responsible to perform administrative/clerical support functions for a department and/or program. Screens and prioritizes incoming materials. Supervises clerical staff as required. Acts as a receptionist; answers telephone and greets visitors, determines nature of call/visit, takes or relays messages or provides general information about program, services and/or other community resources or refers to others. Provides assistance with recruitment requests; completes information for posting purposes according to procedure when directed to fill vacancies. Provides assistance with monitoring and analyzing program budget. Processes and/or monitors expenses. Performs word processing duties; drafts forms, prepares/types letters, memos, and reports. Transcribes assessments, case reviews, progress notes and summaries. Assists with web-site maintenance and other communication strategies including resources and communication bulletin boards; Compiles statistics, maintains timekeeping records, maintains departmental levels of stationery and makes arrangement for building and/or office equipment maintenance and repairs Maintains client charts. Schedules/arranges appointments/bookings for clients. Please note that this position Based in the HOpe Centre but the position may float to PCN, EPI, or Stepping Stones.

Requirements

  • Grade 12.
  • Office Administration Certificate plus three (3) years recent related experience or an equivalent combination of education, training, and experience.
  • Knowledge of general office procedures.
  • Knowledge of medical terminology.
  • Ability to type at 50 w.p.m.
  • Ability to keyboard 6,000 keystrokes per hour.
  • Ability to establish and maintain rapport with clients.
  • Ability to communicate effectively/tactfully both verbally and in writing.
  • Ability to compose business correspondence.
  • Ability to plan, organize and prioritize.
  • Ability to work under the pressure of interruptions and adapt to changes.
  • Ability to problem solve and take initiative.
  • Ability to work both independently and as a member of a multidisciplinary team.
  • Ability to do basic mathematical calculations.
  • Ability to operate related equipment.
  • Basic computer literacy to operate a computerized client care information system and word processing, spreadsheet, Internet and e-mail software.
  • Physical ability to perform the duties of the job.
