Job Description The University of Nevada, Reno is recruiting for an Administrative Assistant 3 for Manufacture Nevada located at the Innevation Center in Midtown Reno.

Requirements

  • Graduation from high school or equivalent education and three (3) years of progressively responsible relevant work experience which included experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR One (1) year of experience as an Administrative Assistant II in Nevada State service; OR An equivalent combination of education and experience as described above.

Responsibilities

  • Assist with internal and external workshops, events and meetings, including event planning and coordination.
  • Prepare documents and files such as flyers, certificates, booklets, memos, letters, spreadsheets, presentations, marketing collateral, and forms using software such as Word, PowerPoint, Adobe Acrobat Pro, InDesign or Photoshop.
  • Proof-read written and digital content with a keen eye for details and professionalism
  • Update CRM data related to leads, contacts, accounts, vendor payment status, etc.
  • Assist with external communications activities using online tools such as Eventbrite, Constant Contact, Webflow, social media, and email.
  • Process vendor payments, travel expense claims, spend authorizations, costing allocations, effort certifications, hourly time sheets, budgets, cash sales, and purchasing card transaction verifications in Workday.
  • Retain and maintain records according to grant requirements and UNR policy.
  • Manage human resource tasks including coordinating recruitments, initiating hires & terminations, entering timesheets, certifying I-9s, etc.
  • Manage inventory and sensitive equipment.
  • Complete internal administrative reports as required.
  • Other duties as assigned.
