About The Position

The Department of Surgery is seeking a highly motivated professional with excellent customer service skills to join the Division of Plastics as an Administrative Assistant III. This position serves as the central point of contact for the division and provides comprehensive administrative and operational support to faculty and leadership. The Administrative Assistant III oversees multiple administrative and clinical support functions to ensure the efficient coordination of daily operations. Responsibilities include managing calendars and meeting logistics, tracking faculty leave, coordinating faculty onboarding, maintaining clinical and administrative records, arranging travel and processing reimbursements, and supporting fiscal activities such as purchasing, licensing, membership dues, registration fees, and breast implant orders. The role also assists with visitor and phone inquiries, correspondence, scheduling, Zoom coordination, and other daily operational needs. Working closely with the Department Leadership Team—including the Department Administrator, Division Chief, and other key leaders—the Administrative Assistant III provides essential clinical and administrative support and contributes significantly to the overall effectiveness and success of the Division and Department. Requirements

  • High school diploma or GED
  • At least 5 years of experience directly related to the duties and responsibilities specified.
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Nice To Haves

  • Strong organizational, verbal, and written communication skills
  • Experience scheduling appointments and maintaining multiple calendars; coordinating meetings, facilities usage (room reservations), conferences, workshops, events, and/or travel arrangements
  • Experience monitoring, reconciling, and assisting with fiscal administration, including travel, travel reimbursements (Chrome River), and purchasing
  • P-Card holder or ability to obtain one
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Ability to establish, update, and maintain departmental files, inventories, and records
  • Experience with UNM purchasing policies, P-Card, and Chrome River Expense
  • Familiarity with UNM Business Policies and Procedures
