About The Position

This is a limited-service position, meaning its continuation is dependent on funding availability such as grants or alternative sources, and timeframes like pilot projects or program termination. The successful candidate will provide direct administrative support to the faculty, staff, and students of the undergraduate nursing program at Idaho State University's School of Nursing. This role serves as the primary point of contact for visitors to the Beckley Building and is crucial for coordinating daily operations. The Administrative Assistant 1 is expected to model professional communication and collaboration, assist with organizing meetings, maintain records, support events, and liaise with internal and external partners. The position requires flexibility, adaptability to evolving needs, and a strong commitment to teamwork within the School of Nursing. Please note that this position is not eligible for new visa sponsorship at this time; only candidates with existing U.S. work authorization will be considered.

Requirements

  • Good knowledge of office support functions including word processing, filing, composing a variety of business documents and reception.
  • Good knowledge of gathering and compiling data.
  • Good knowledge of balancing and coordinating a workload for multiple projects.

Nice To Haves

  • Good knowledge of medical terminology and medical documents and the general benefits of Medicaid, Medicare and major insurance companies.
  • Experience interpreting, applying, and explaining complex information or documents.

Responsibilities

  • Serve as the primary front desk presence for the Beckley Building, greeting, assisting, and directing all visitors in a professional and welcoming manner.
  • Act as a consistent point person for students, supporting their success by answering questions and connecting them to appropriate resources.
  • Support new student orientation and recruiting activities.
  • Assist the Student Nurses Association.
  • Ensure classrooms and learning spaces are unlocked, prepared, and ready each day.
  • Provide comprehensive administrative support to undergraduate nursing faculty, students, and leadership.
  • Support faculty and committees by scheduling meetings, preparing agendas, and taking minutes.
  • Prepare undergraduate meeting minutes and submit for review and approval.
  • Perform clerical duties: filing, typing, copying, binding, scanning, ordering supplies, and preparing documents.
  • Assist the Director of Undergraduate Studies with daily operations and program needs.
  • Develop and process purchase orders; receive and track deliveries.
  • Coordinate food orders, setup, and logistics for undergraduate program events.
  • Monitor and restock supplies in student/faculty lounges; report maintenance issues.
  • Submit final expense reports for all School of Nursing faculty.
  • Submit travel documentation for faculty and staff using Chrome River software.
  • Provide additional administrative support to the Associate Dean as needed.
  • Perform other duties as assigned in support of the School of Nursing.
  • Maintain computer and equipment inventory.
  • Serve as the School of Nursing Safety Liaison.
