About The Position

Columbia Basin College ("CBC" or the "College") seeks an Administrative Assistant 1 to be responsible for providing administrative support to the Executive Assistant for the President and other Executives within the College. This position will independently perform a variety of complex secretarial assignments, including managing calendars, coordinating budgets, tracking expenses, and facilitating communication between committees and councils. The Administrative Assistant will also assist with document creation, website updates, event planning, and monitoring participation in programs.

Requirements

  • High school diploma or equivalent
  • Three (3) years of clerical or secretarial experience

Nice To Haves

  • Associate's degree or equivalent education from an institutionally accredited college or university
  • Bilingual and biliterate in English and in Spanish
  • Intermediate proficiency in Microsoft Office

Responsibilities

  • Manage calendars, schedule meetings, and arrange room reservations for the Executive Assistant and other executives
  • Process and coordinate travel requests and expense reports for executives and staff
  • Track and coordinate budgets and expenses for Diversity, Equity & Inclusion (DEI), Strategic Planning, Marketing and Outreach, and Institutional Research
  • Perform data entry and updates for the Strategic Plan web page
  • Build and distribute surveys using Microsoft Forms
  • Serve as a liaison between committee and council leaders to facilitate communication and ensure the smooth flow of information between committees and the Strategic Planning Committee
  • Assist in mapping community events, organizations, and opportunities for College participation and engagement
  • Provide support in document creation, proofreading, and formatting
  • Update and maintain website content, including writing and editing pages as needed
  • Assist with the planning and logistics of trainings, workshops, conferences, and special events, including venue coordination, speaker support, and preparation of materials
  • Monitor participation and attendance trends in programs and compile relevant reports
  • Perform other related duties as assigned

Benefits

  • The typical work hours for this position are Monday through Thursday from 7:00 a.m. to 4:30 p.m. and Friday from 7:00 a.m. to 12:00 p.m.; however, must be available to work a flexible schedule when prior notice is given by the College.
