About The Position

The Stop Community Food Centre's mission is to increase access to healthy food in a manner that maintains dignity, builds community, and challenges inequality. Originating over 40 years ago as one of Canada's first food banks, The Stop has evolved into a vibrant community centre. It utilizes food as a means to address various issues, including poverty, the environment, social isolation, and health, within one of Toronto's lowest-income neighborhoods. The organization is accredited by Imagine Canada for its excellence in non-profit accountability, transparency, and governance. This position is part of the Canada Summer Jobs (CSJ) program, which falls under the Youth Employment and Skills Strategy (YESS). The CSJ program aims to help youth aged 15 to 30 acquire paid summer work experience and develop essential job market skills. The Stop is seeking a detail-oriented and highly motivated candidate to provide administrative and archive support. This on-site role, working with the Executive Office and reporting to the Executive Assistant, will focus on strengthening records management practices and facilitating the transition of physical files into a secure, well-organized digital archive.

Requirements

  • Between 15 and 30 years of age.
  • A Canadian citizen, a permanent resident, or someone who has been officially granted refugee protection in Canada and legally entitled to work in Canada (which means you must have a valid Social Insurance Number).
  • Currently enrolled in, or recent graduate of, a program related to archives, library and information science, history, public administration, or a related field.
  • Strong attention to detail and a high degree of accuracy in handling information.
  • Ability to manage repetitive tasks with consistency and focus.
  • Strong organizational skills and ability to develop and work within structured systems.
  • Discretion and professionalism when handling confidential or sensitive information.
  • Excellent communication and interpersonal skills and a team player.
  • Ability to work independently.
  • Ability to prioritise and manage multiple tasks.
  • Ability to problem-solve and troubleshoot.
  • Solid computer skills (Microsoft Office Suite – 365, Internet, etc.).
  • Ability to work respectfully with marginalised and culturally diverse community members.
  • Understand and practice anti-racist and anti-oppression approach in all aspects of work, including interactions with participants, community members, coworkers, stakeholders, and others.

Responsibilities

  • Digitize physical records through high-volume scanning and upload to cloud-based and internal server systems.
  • Assist in implementing records management practices, including file organization protocols and basic classification systems.
  • Assist in annual inventory and asset documentation processes across organizational sites.
  • Contribute to organization-wide file clean up and storage optimization initiatives.
  • Review paper and digital records to support classification, retention, and secure destruction in alignment with confidentiality and privacy requirements.
  • Assist with organizing program-related data and documentation to support reporting and analysis.
  • Support The Stop’s program teams and leadership with special projects and tasks as assigned.
  • Provide occasional front-line support by greeting community members and responding to general inquiries in-person or by phone.
