About The Position

This position is responsible for managing the department's administrative operations, including processing departmental purchases, operating the CSU Buy procurement system, and reconciling monthly expenditures. The role also administers the parking permit program and its associated revenue collection system, assesses parking demand, and coordinates permit allocation. Additionally, the Administrative Analyst serves as the primary point of contact for parking enforcement and customer service, handling disputes and enforcing university parking policies. The position involves hiring, training, scheduling, and supervising student employees for front office operations and coordinating the Parking Advisory Committee. Training on parking procedures and system operations will be provided to student assistants, Port Security Guards, and Police Officers. This position is located in Vallejo, California at the Cal Poly Maritime Academy.

Requirements

  • Equivalent to graduation from a four-year college or university.
  • One year of technical or administrative experience.
  • Satisfactory completion of a background check (including a criminal records check).
  • Must be authorized to work for any employer in the U.S.

Nice To Haves

  • A graduate degree in a related field may be substituted for one year of the required experience.
  • Additional qualifying experience may be substituted for the required education on a year-for-year basis.

Responsibilities

  • Manage the department's administrative operations.
  • Process departmental purchases using Pro Card transactions and Purchase Orders.
  • Operate the CSU Buy procurement system.
  • Reconcile monthly expenditures and maintain financial records.
  • Ensure compliance with CSU procurement policies and procedures.
  • Administer the parking permit program and VenTek International Permit Machine venVUE Revenue Collection System.
  • Manage parking permits, revenue reporting, and system operations.
  • Assess parking demand and coordinate permit allocation.
  • Serve as the primary point of contact for parking enforcement and customer service.
  • Handle parking disputes, inquiries, and appeals.
  • Communicate and enforce university parking policies and procedures.
  • Hire, train, schedule, and supervise student employees supporting front office operations.
  • Coordinate Parking Advisory Committee meetings, agendas, attendance, minutes, and committee materials.
  • Provide training and guidance on parking procedures, permit issuance, and parking management system operations to student assistants, Port Security Guards, and Police Officers.
