About The Position

The Administrative Analyst will provide essential support to members of the DBCS Team. This position will work closely with various departments to coordinate tasks, gather and analyze information, and contribute to the overall success of both administrative operations and research initiatives.

Requirements

  • Have experience in an administrative or research support role.
  • Strong organizational and multitasking abilities, with the capacity to prioritize tasks effectively in a fast-paced environment.
  • Can work independently with limited supervision.
  • A keen eye for detail for ensuring the accuracy of data entry.
  • Can organize and maintain both digital and physical filing systems.
  • Have excellent written and verbal communication skills.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to adapt to changing priorities.
  • Strong collaborative skills with the ability to work effectively as part of a team and build positive working relationships.
  • Working towards a Degree or diploma in related field, or equivalent experience.

Nice To Haves

  • Experience with Salesforce or other CRM systems is an asset.

Responsibilities

  • Update client management system and review for data errors, verify accuracy and completeness, and correct mistakes to maintain data integrity.
  • Accurately enter alphanumeric and other data from a variety of sources (paper documents, audio, digital files) into company databases and systems.
  • Retrieve specific data or generate reports from databases as requested by team members or management.
  • Collect, organize, and analyze research data from internal and external sources.
  • Prepare summaries, charts, and presentations based on research findings.
  • Assist in background research for projects, grants and funding proposals.
  • Develop and maintain research tracking system and ensure data accuracy.
  • Support the development of reports or summaries for proposals, grants and special projects.
  • Participate on research related committees as needed.
  • Provide support for any research specific projects and tasks as needed.
  • Draft and proofread documents as needed.
  • Maintain confidential documents.
  • Support in the preparation of various staff and Board meeting agendas, documents, minutes and action items, and other supporting material as needed.
  • Coordinate logistics for in-person and virtual staff and Board meetings, including calendar invitations, meeting room booking, AV requirements, and catering as needed.
  • Attend staff meetings as needed, take accurate summaries, and action items and distribute them in a timely manner.
