About The Position

The Office of Events at NYU's School of Professional Studies is seeking an Administrative Aide to serve as a key member of the school's events team. The Aide will perform a wide range of clerical and general office duties, including those of a confidential nature. This individual will provide an array of support prior to and at SPS events and conferences, helping to ensure that events run smoothly. The Aide will prioritize office activities and delegate work to student and/or casual employees. Respond to inquiries displaying a comprehensive knowledge of the department's activities, policies and programs. Interact with the general public and with University personnel including those at the senior level to resolve issues and problems. Customize and/or compose communications on own initiative or in response to requests for information. Use Microsoft Office and Google Suite applications, demonstrating intermediate to advanced-level functions and update and track department work using project management software. Modify and/or create databases and complex spreadsheets. Process contracts and prepare, track and maintain records of purchase orders, invoices and payments. Must be available to work occasional early mornings, evenings after normal business hours, and weekends in support of school events, conferences, and special programs. Flexibility to adjust work schedules based on event and conference needs is required, as is attendance at on-site events and conferences, including setup and breakdown activities before and after events.

Requirements

  • High School diploma or equivalent.
  • 3 years of office experience.
  • Experience providing a high level of customer service.
  • Proficiency with intermediate to advanced word processing, spreadsheet and database applications.
  • Moderate to fast, accurate keyboarding.
  • Good proofreading and writing skills.

Nice To Haves

  • 2 years of office experience (with Associate's degree).
  • 1 year of office experience (with Bachelor's degree).
  • Proficiency with intermediate to advanced Microsoft Office or proficiency with Apple.
  • Knowledge of desktop publishing software.
  • Knowledge of Access.
