About The Position

The United Protestant Association of NSW Limited (“UPA”) is a values-driven non-profit care organisation serving local communities throughout NSW. We are looking for an Admin Assistant to join our team at Riverina Murray Admin. team in our Lavington Office. This role provides efficient day-to-day administrative support to ensure smooth village operations, maintains accurate resident records, and acts as a key point of contact for residents, families, staff, and external stakeholders.

Responsibilities

  • Provide efficient day-to-day administrative support to ensure smooth village operations.
  • Maintain accurate resident records, databases and documentation, including admissions, discharges and compliance records.
  • Prepare correspondence, reports, meeting minutes and communication materials in a timely manner.
  • Coordinate mail, document distribution and general office administration.
  • Act as a key point of contact for residents, families, staff and external stakeholders.
  • Respond to enquiries, requests and feedback promptly, professionally and with discretion.
  • Support a welcoming, responsive and resident-focused environment aligned with UPA values.
  • Coordinate maintenance requests, service bookings, village activities and outings.
  • Liaise with internal teams, contractors and suppliers to support effective service delivery.
  • Assist with village communications, including newsletters, notices and resident updates.
  • Maintain administrative systems and ensure information and data remain accurate and up to date.
  • Identify opportunities to improve administrative processes and assist with implementing improvements.
  • Maintain compliant and organised document management and record-keeping practices.
  • Work in accordance with UPA policies, procedures and relevant legislative requirements.
  • Maintain confidentiality and handle resident, employee and organisational information appropriately.
  • Participate in training, performance development and continuous learning activities.
