About The Position

This is a newly created role within our organization. The use of the masculine in this job offer is adopted for ease of reading and includes all gender identities. The Administrator will work proactively within the team by assisting colleagues, offering suggestions, taking initiative, and taking responsibility for their actions. They will meet or exceed brand service standards. This role involves coding invoices, expense reimbursement requests, and cash funds. The Administrator will prepare, manage, and control Excel spreadsheets to track expenses. They will assist the manager in managing financial resources (budget preparation, operating cost control, etc.) and material resources (inventory management, etc.). The Administrator will follow up on accounts receivable and notify the manager of late rent payments (seasonal). They will collect rents and other charges. This role also involves the development of administrative projects. The Administrator will enter data related to new leases and rent payments into the company database. They will process all incoming and outgoing mail, including registered mail, as well as packages shipped by courier. The Administrator must have impeccable phone manners and excellent oral and written communication skills. They must demonstrate a high degree of integrity, diplomacy, and discretion. A mature and professional attitude towards clients, employees, and visitors must be maintained at all times, with a particular emphasis on customer service. The Administrator will monitor and maintain stock levels and place orders as needed.

Requirements

  • A strong track record in customer service.
  • Excellent communication and conflict resolution skills.
  • One to two years of experience in an administrative role.
  • Excellent command of Microsoft programs, especially Excel.
  • Excellent time management, ability to multitask and prioritize with minimal supervision.
  • Advanced written communication skills.
  • Professional, proactive, and positive work attitude.
  • Experience handling confidential or sensitive information; knowledge of applicable data protection laws.
  • Very good mathematical skills.
  • Ability to maintain elementary filing systems and databases.
  • Excellent problem-solving, critical thinking, and organizational skills.

Nice To Haves

  • Experience in the real estate or property management industry is desirable, but not essential.
  • Knowledge of the Residential Tenancies Act is an asset.
