About The Position

The University of Iowa Health Care Department of Radiology is seeking an Administrative Services Coordinator to provide high-level administrative support to faculty and departmental leadership. This position is responsible for complex administrative and scheduling functions and regularly collaborates with department leaders, senior executives, referring providers, technologists, and public and private officials. The Administrative Services Coordinator also serves as a key liaison for faculty working in Radiology Reading Rooms, facilitating effective department-wide communication, and supporting departmental projects and initiatives. This role requires a high degree of professionalism, independent judgment, organization, and discretion in a fast-paced clinical environment.

Requirements

  • A Bachelor's degree in Business Administration or related field, or an equivalent combination of education and experience
  • 1-3 years’ experience in an administrative support role for hospital or academic faculty and leadership.
  • Working knowledge of web-based tools; databases, internet searches
  • Superior written, verbal, and interpersonal communication skills
  • Demonstrated proficiency with Microsoft Office and computer software applications
  • Demonstrated experience in providing superior customer service in a healthcare or academic environment
  • Demonstrated exceptional attention to detail, planning, and follow-up skills
  • Demonstrated independent thinking skills to develop alternative solutions and solve problems
  • Demonstrated ability to initiate and take independent action while working as part of a team

Responsibilities

  • Maintains effective working relationships and serves as a primary contact for Radiology Faculty
  • Provides faculty administrative support for assigned Radiology Divisions and Reading Rooms
  • Serves as a first point of contact, in person or by phone, for internal staff; Ensures calls are documented and triaged appropriately
  • Communicates patient and exam information to Radiologists from referring providers, technologists, and other healthcare personnel
  • Assists Radiologist with communication to ordering providers when interpreting studies
  • Reviews EPIC reading worklists and status reports to assist Radiologists in the reading workflow
  • Assists in tracking, investigating, and processing external orders
  • Coordinates patient procedure scheduling to ensure clinical volume is manageable for the Radiologist’s workflow and schedule
  • Provides timely and professional communication with providers regarding procedure scheduling
  • Maintains and manages over book and add-on requests from clinics for Radiologist’s clinic procedures
  • Functions as a superuser for the Visage Reporting system
  • Assists with efficient and timely processing of Peer Review studies
  • Makes decisions and exercises a high level of autonomy while performing administrative/operational support and management of the reading room
  • Monitors workflow within the reading room and recommend processes to enhance patient satisfaction and clinical operations
  • Manages complex faculty schedules, requiring judgment in determining meeting needs, discretion related to calendar activities, prioritization of appointments and creating multiple electronic calendar systems
  • Maintains and manages division reading room schedules using the Epic Staffing Board system
  • Maintains and manage division call schedules
