The Admin/Receptionist is a key player in shaping the first impression of The Pond Guy. The company is the leading manufacturer and distributor of pond, lake, and water garden products including aeration systems, fountains, and water treatments to a nationwide network of end-users and Airmax dealers. The company has over 160 employees and customers in all 50 states, servicing both wholesale and end-users.

Requirements

  • 3–5 years of experience in an office environment with proven proficiency in a variety of computer software and systems
  • Excellent written and verbal communication skills
  • Proficient computer knowledge in Microsoft Office
  • Manual dexterity for typing, sitting at a desk, and looking at a computer screen/typing for long periods of time
  • Ability to shadow other departments that may require physical activity, including lifting 25-35 pounds and standing for long periods
  • Upbeat attitude and a solution-first mindset
  • Quick to learn, eager to master new processes, and thrive on keeping things organized and running smoothly
  • Exceptional communication and customer service skills
  • Authorized to work in the United States

Nice To Haves

  • Experience with recruiting, interviewing, and hiring
  • Knowledge or usage of ATS (Applicant Tracking Systems) and HRIS (Human Resource Information Systems)

Responsibilities

  • Serve as a friendly, professional first point of contact for visitors and employees
  • Maintain applicant tracking systems, review resumes, and coordinate/schedule interviews across multiple departments with precision and professionalism
  • Communicate with candidates via phone, text, email, and in person, creating a smooth, friendly, and responsive hiring experience from start to finish
  • Support the growth of the talent pool through postings, job boards, hiring events/job fairs, and employee referral programs
  • Conduct active candidate sourcing through social media recruiting and recruitment marketing
  • Track and share recruitment analytics and hiring metrics to keep the team informed and aligned on goals
  • Collaborate closely with outbound recruiters to continuously refine and improve hiring strategies
  • Conduct background and reference checks electronically
  • Partner with HR and hiring managers to welcome new hires, prepare workstations, and provide training materials or welcome kits
  • Update the company intranet and send out internal communications
  • Manage employee access cards, safety signage, and OSHA compliance documentation
  • Create and refine department procedures to support internal recruiting and retention strategies
  • Support employee growth through coordination of training sessions utilizing the learning management system (LMS)
  • Assist other departments with meetings, events, and ad-hoc projects that support company goals and culture
