About The Position

To perform a variety of clerical and general office tasks in support of an assigned location (i.e., department, project office, etc.). This role involves coordinating and performing division/department support activities, serving as a liaison, and providing administrative support such as answering telephones, assisting visitors, and resolving administrative inquiries. The position requires operating a personal computer to compose and edit correspondence, scheduling meetings and events, assisting with problem-solving and project planning, and maintaining files and databases. Responsibilities also include managing mail, requisitioning supplies, running errands, and maintaining a professional demeanor with clients and employees.

Requirements

  • High School Diploma or GED
  • Three years of office/clerical experience or equivalent
  • Ability to keyboard 50-60 wpm accurately
  • Word processing and/or data entry skills.
  • Proficient knowledge of general office procedures and office machines
  • Proficient in English verbal communication skills, including professional telephone manner
  • Ability to make administrative/procedural decisions and judgments.
  • Ability to create, compose, and edit written materials.
  • Reliability, dependability and flexibility

Responsibilities

  • Perform all essential duties of Junior Administrative Assistant as needed.
  • Coordinate and perform a range of division/department support activities; serve as a liaison with other divisions/departments.
  • Provide administrative support for staff, including answering telephones, assisting visitors, and resolving/referring administrative problems and inquiries.
  • Operate personal computer to compose and edit correspondence from dictation, verbal direction, or knowledge of established policies; prepare, transcribe, compose, type, edit, and distribute correspondence.
  • Schedule and coordinate meetings, events, interviews, appointments, and similar activities for supervisors, including travel and lodging arrangements.
  • Assist division/department in problem-solving, project planning, and development and execution of stated goals and objectives.
  • Establish, maintain, and update files, databases, records, and other documents.
  • Sort, screen, review, and distribute incoming and outgoing mail; compose, prepare, or ensure timely response to routine inquiries.
  • Requisition supplies, printing, maintenance, and other services.
  • Run miscellaneous errands; pick up deliveries as required or directed.
  • Maintain a professional manner with clients and employees.
  • Complete other responsibilities as assigned.
