The Administrative Assistant role supports the office with primarily clerical duties and some jobsite responsibilities, ensuring compliance with WPI policies and safety programs.

Requirements

  • Able to stand and sit for long periods of time.
  • Able to learn new software programs and work with multiple operating systems.
  • Proficient in Microsoft Windows, Microsoft Office Suite (Excel, Word, and Outlook).
  • Strong oral and written communication skills.
  • Ability to work in a team environment.
  • Strong customer service skills.
  • Ability to multitask, think critically, and problem-solve.
  • Ability to learn new job skills by engaging in the technical aspects of the job and applying new skills as they are taught.
  • Must be able to work independently, make decisions, and follow through on all assignments.
  • Must possess strong organizational and computer use skills.
  • High level of competency to read/write/speak English and communicate with coworkers.
  • Must be able to commute daily to the office in Sparks, NV.

Responsibilities

  • Answer telephones and direct callers to the appropriate associate.
  • Greet and direct visitors to the company politely and professionally.
  • Provide callers with information such as company address, directions, fax numbers, and website.
  • Receive, sort, and forward incoming mail.
  • Coordinate the pick-up and delivery of express mail services (FedEx, UPS, etc.).
  • Contact office staff when packages are received for them.
  • Assist in the ordering, receiving, stocking, and distribution of office supplies.
  • Assist potential new hires with application completion (print, fill out I-9 information) and forward to payroll.
  • Coordinate Drug Testing paperwork for new hires and send them for pre-employment drug screens.
  • Handle event coordination, lunch event planning, and travel reservations.
  • Monitor and restock kitchen supplies (paper towels, plates, sugar, creamer, etc.).
  • Coordinate office services such as cleaning, HVAC maintenance, water/ice, security, waste management, and coffee services.
  • Develop new systems, forms, and ideas for increased efficiencies.
  • Support safety plans and practices.
