About The Position

The Condominium Association Administrative Assistant provides administrative, operational, and customer service support to the condominium association. This position serves as a primary point of contact for residents, vendors, and board members, ensuring smooth day-to-day operations, accurate recordkeeping, and compliance with association policies and procedures.

Requirements

  • Full-Time Mon-Fri 8am-4:30pm

Responsibilities

  • Maintain association records, files, and databases.
  • Prepare correspondence, notices, newsletters, and resident communications.
  • Schedule and coordinate board meetings, annual meetings, and committee meetings.
  • Prepare meeting agendas, take minutes, and distribute meeting materials.
  • Manage office supplies and administrative resources.
  • Serve as the first point of contact for homeowners, residents, and guests.
  • Respond to inquiries, concerns, and service requests in a professional and timely manner.
  • Track resident complaints and coordinate follow-up actions.
  • Assist with move-in/move-out procedures and resident orientation.
  • Maintain records of assessments, fees, and collections.
  • Support budget preparation and financial reporting activities.
  • Maintain vendor contracts and insurance certificates.
  • Schedule maintenance, repairs, and inspections.
  • Communicate with contractors regarding work orders and project updates.
  • Monitor vendor performance and maintain service records.
  • Ensure association records comply with governing documents and applicable regulations.
  • Maintain homeowner files and architectural review documentation.
  • Assist with enforcement of association rules and policies.
  • Track insurance policies, permits, licenses, and required renewals.
  • Provide administrative assistance to the Board of Directors.
  • Prepare reports, presentations, and meeting packets.
  • Assist with election processes and annual meeting requirements.
  • Maintain confidentiality regarding board matters and resident information.
