About The Position

BAE Systems Electronic Systems sector is seeking a highly motivated Administrative Assistant to provide support to the business leadership team members in the RF Effects (RFx) Program Area of the Space Systems Product Line. This role requires executive communication skills, strong collaboration, a high level of judgment, strong organizational skills, tremendous attention to detail, and the ability to meet tight deadlines while balancing multiple priorities. The position requires a high level of integrity and discretion in handling sensitive information. This role will also operate as part of a highly collaborative administrative team across multiple sites, ensuring seamless leadership team coverage and support as required. The position involves a combination of collaborative in-person and independent work in support of others, with a strong preference for on-site work with a flexible schedule.

Requirements

  • High school diploma and 3+ years of relevant work experience
  • Advanced level proficiency in Microsoft applications -- Word, Excel, PowerPoint, Outlook and Teams.
  • Associate's degree in a general, applicable field of study
  • 5+ years of relevant work experience
  • Prior regular use of Microsoft SharePoint within daily responsibilities

Responsibilities

  • Working on-site at the Merrimack, NH facility supporting the RFx program area.
  • Proactively manage the program area calendar and de-conflict meetings as necessary for effective and efficient time management.
  • Booking travel for supported employees and adjust as necessary based on changing circumstances.
  • Timely and accurate completion of expense reports for supported employees.
  • Overseeing meeting management to include program management reviews, personnel meetings and all-hands meetings.
  • Schedule, send calendar meeting notifications to attendees and ensure all logistical needs are addressed.
  • Plan and execute staff meetings.
  • Record and disseminate meeting action items.
  • Submitting site visitor requests.
  • Maintaining office supplies that are essential for successful operation for the organization.
  • Effectively prioritizing activities when faced with competing demands.
  • Maintaining confidentiality of information received within the scope of this role.
  • Performing additional administrative responsibilities as assigned.
