About The Position

The Administrative Assistant III supports the day-to-day operations of a busy distribution centre by managing administrative processes, payroll support, employee scheduling, onboarding, and operational coordination. This role works closely with warehouse leadership, employees, vendors, and union representatives to help keep the site running smoothly. This is an excellent opportunity for candidates with experience in administrative support, payroll, HR coordination, operations support, warehouse administration, or distribution centre operations.

Requirements

  • Typically requires 3+ years of related experience
  • Minimum 2 years of administrative experience
  • Experience using Microsoft Office (Excel, Word, Outlook, Teams)
  • Experience supporting payroll, timekeeping, scheduling, or employee records
  • Experience managing multiple priorities in a fast-paced environment
  • Strong written and verbal communication skills
  • Strong organizational skills and attention to detail
  • Ability to maintain confidential information

Nice To Haves

  • Certificate or diploma in Business Administration, Office Administration, or a related field
  • Experience with ADP or other payroll/timekeeping systems
  • Experience with SAP, Ariba, or similar business systems
  • Experience supporting warehouse, logistics, manufacturing, or distribution centre operations
  • Experience working in a unionized environment
  • Familiarity with attendance management, onboarding, and employee relations processes
  • Knowledge of workplace health and safety programs
  • Strong analytical and problem-solving skills

Responsibilities

  • Provide administrative support for daily distribution centre operations
  • Process invoices, purchase orders, vendor payments, and budget-related activities
  • Support payroll and timekeeping processes using ADP or similar systems
  • Coordinate recruitment, onboarding, and orientation for new warehouse employees
  • Maintain employee schedules, attendance records, and time-off tracking
  • Support leave-of-absence, workplace injury, and disability claim administration
  • Coordinate vacation requests for union and non-union employees
  • Serve as a point of contact for employee and administrative inquiries
  • Support health and safety programs, wellness initiatives, and committee activities
  • Assist with employee engagement events and community involvement programs
  • Maintain records, reports, and operational documentation
  • Coordinate with local leadership, regional teams, vendors, and union representatives
  • Support site security processes and administrative operational projects
