About The Position

The Department of Cell Biology & Physiology is seeking an energetic, capable, self-motivated individual with excellent computer and communication skills to support the department and department leadership. The successful candidate will be able to act independently, balance multiple ongoing priorities, and demonstrate exceptional skill at anticipating needs based on existing knowledge. The individual must be detail-oriented, an experienced multitasker with a wide knowledge of office software, exceptionally well organized and a good communicator. Excellent oral and written communication skills must be demonstrated through application materials and interview. The Administrative Assistant 3 will work closely with other members of the administrative team to provide administrative/secretarial support for the Department Chair, Department Administrator, Department Accountant, as well as for faculty, staff, postdocs and students. This individual will hold a PCard. Duties include, but are not limited to, processing financial transactions, reconciling purchases in Chrome River, creating/editing department newsletter, inventory and surplus contact, scheduling appointments/meetings, coordinating seminars/special events including arranging travel and preparing itineraries, maintaining office equipment and office supply inventory, filing, answering phones, sorting/screening mail, errands and miscellaneous office duties.

Requirements

  • High school diploma or GED
  • At least 5 years of experience directly related to the duties and responsibilities specified
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis

  • Demonstrated ability to communicate effectively, both orally and in writing.
  • Exhibited ability to make sound and effective administrative and procedural decisions and judgments and proven skills in organizing resources and establishing priorities.
  • Understanding of basic accounting principles and appropriately utilizing a Purchasing Card, monitoring, reconciling, and assisting with fiscal administration; including gathering data, compiling information, preparing financial reports and summaries. Tracking and reconciling accounts.
  • Knowledge/experience with Chrome River and UNM reimbursement process.
  • Exhibited knowledge of UNM processes and policies.
  • Demonstrated expertise in utilizing Microsoft Office Suite applications and practical experience and capability to work with Smartsheet.
  • Flexibility and skills in working with interruptions and distractions, including the ability to prioritize, handle multiple tasks, and meet critical deadlines.
  • Experience with electronic calendaring, scheduling meetings, making travel arrangements.
  • Experience with student hiring.
  • Experience in an academic research and medicine setting.
