About The Position

The Preventive Medicine Section, within the Department of Internal Medicine, is seeking a flexible, outgoing, professional individual with excellent computer and communication skills to support the Preventive Medicine Residency Program. The Administrative Assistant 2, reporting directly to our Program Manager, will help support faculty, residents, medical students, and staff. This dynamic role involves customer service tasks such as responding to information requests, scheduling meetings, maintaining calendars, coordinating activities and travel arrangements, purchasing supplies and materials, attending meetings, preparing minutes, assisting with the UNM HEaRT Program; and assisting with other projects as determined by the needs of the department’s management. The ideal candidate will demonstrate clear and concise communication skills to establish and maintain positive working relationships with various stakeholders. The hired individual will work Monday through Friday, 8am to 5pm with no weekends scheduled. The Department of Internal Medicine is a large, progressive department with a diverse staff working in dedicated teams to provide quality work in an organized, effective, and efficient manner through innovation, training, and education. Through our collaborative work effort, we support the faculty and enhance the missions of the department, school, Health Sciences Center, and University.

Requirements

  • High school diploma or GED
  • At least 3 years of experience directly related to the duties and responsibilities specified
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis

Nice To Haves

  • Administrative experience in an academic medicine setting
  • Proficiency with: Microsoft Word, Excel, PowerPoint, Outlook, Adobe Acrobat, and Zoom
  • Detail oriented and have strong organizational skills
  • Knowledge of purchasing, ordering, reconciliations, with University of New Mexico’s reconciliation program, Chrome River
  • Establishing, maintaining, and updating files, databases, records, and other documents
  • Experience scheduling and coordinating meetings, guest speakers, and conferences
  • Experience making travel arrangements, preparing itineraries, and preparing reimbursements
  • Team player with the ability to also be resourceful and work effective independently
