About The Position

The Action Officer I supports the DARPA Adaptive Capabilities Office (ACO) Front Office by tracking taskers, drills, exercises, and action items across the office, coordinating with stakeholders to drive policy actions, and ensuring ACO leadership is informed and prepared for high level meetings and reviews.

Requirements

  • Minimum of two (2) years of experience working with key stakeholders to track project status, actions, milestones, and schedules
  • Demonstrated experience using tracking tools to manage actions, prepare briefings, and ensure that a team is properly informed and prepared for participation in high level meetings
  • Familiarity with tasker management, suspense tracking, and document routing in a federal Government environment
  • Strong written and verbal communication skills, including drafting correspondence, talking points, and read ahead materials
  • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint, SharePoint, Teams)
  • Strong organizational and time management skills with the ability to manage multiple competing deadlines
  • U.S. citizenship

Nice To Haves

  • Project Management Professional (PMP) or Certified Associate in Project Management (CAPM)
  • ITIL Foundation
  • Defense Acquisition University coursework in program management or acquisition
  • Active Top Secret (TS) clearance.

Responsibilities

  • Track and coordinate all taskers, drills, and exercises within ACO to ensure 100% of assigned actions are submitted by their established deadlines, including taskers from external sources and from ACO leadership
  • Maintain accurate tracking logs for all assigned actions with at least 98% accuracy, including office program reviews, IG and GAO responses, Congressional events, media inquiries, FOIA requests, and DIRO requests for information
  • Work directly with ACO Program Managers, Deputy Program Directors, the Assistant Director for Program Management, and external stakeholders to understand and report on project status, milestones, schedules, and required actions
  • Prepare read ahead materials, briefing slides, talking points, and action item summaries to ensure ACO leadership is fully prepared for high level meetings and reviews
  • Utilize tracking tools, SharePoint sites, and shared drives to manage open actions, follow up with assigned owners, and escalate aging items before they miss deadline
  • Draft, route, and finalize policy actions and recommendations on behalf of ACO leadership, ensuring proper coordination with internal stakeholders and external partners
  • Support preparation for DIRO Program Reviews and other senior level reviews by collecting input from each ACO program, consolidating materials, and confirming readiness three business days before each event
  • Coordinate with the Information Technology Directorate to ensure ACO staff have access to the systems, tools, and information they need to complete assigned actions on time
  • Maintain organized records of completed taskers, lessons learned, and recurring action patterns to support continuous process improvement
  • Communicate clearly and professionally with the Government, ACO Government civilians, and contractor teammates while clearly identifying as a contractor at all times during meetings, calls, and written correspondence
