The Accounts Payable Representative works independently, under moderate supervision to support account payable operations and function. In accordance with internal accounting practices, record and process payments for vendor invoices and may oversee payment schedules. Support the maintenance and reconciliation of the accounts payable ledger. Successful internal and external collaboration with cross-function teams across the organization and with customers is integral to the overall success.

Requirements

  • High School Diploma or GED.
  • 2-3 years of related work experience, or an equivalent combination of education, experience, and training.
  • Working knowledge and application of general ledger concepts, practices, and standards.
  • Working knowledge and application of accounting systems and related technology.
  • Comprehensive understanding and application of organizational, problem solving, analytical, and administrative skills.
  • Excellent verbal and written communication skills, particularly in writing original content and editing legacy materials.
  • Excellent communication and customer service delivery skills.
  • Ability to understand and follow all company policies and procedures and all applicable State and Federal laws.
  • Ability to use typical business tools including E-Mail, Word, Excel, accounting systems, and other related technologies, etc.

Nice To Haves

  • Associate’s degree or professional certification in Accounting, Finance or from a related field of study a plus.

Responsibilities

  • Assist department to internally control and manage petty cash, convey reimbursement payments, and control the dispersion of sales tax exemption endorsements.
  • Receive and review for reimbursement to ensure compliance with accounting practices and procedures.
  • Assist in payment of vendors, monitor discount opportunities, verify federal identification numbers, schedule, and prepare checks, resolve purchase order, contract, invoice, or payment discrepancies and documents.
  • Maintain accurate vendor records.
  • Ensure credit is received for outstanding memos. Issue stop payment or purchase order amendments.
  • Respond to invoice status inquires and ensure internal control compliance.
  • Support travel and expense system
  • Prepare assigned month end analysis to prepare accurate monthly reports.
  • Assist with internal and external audits.

  • Performs other duties as assigned.
