About The Position

This role is responsible for processing payroll accurately and efficiently, managing new hires and changes, ensuring tax compliance, and supporting employees with payroll inquiries. The position involves detailed reconciliation and reporting, with a strong emphasis on confidentiality and accuracy.

Requirements

  • 2–3 years hands-on payroll processing experience
  • Proficiency in payroll systems such as ADP, PayCor, Paychex, QuickBooks Payroll, Gusto, or equivalent
  • Knowledge of federal and Florida payroll tax requirements, including 941, FUTA, SUTA, and W-2
  • Intermediate Microsoft Excel skills for payroll reconciliation and reporting
  • Strict confidentiality and unwavering professionalism
  • Accuracy and self-review discipline

Nice To Haves

  • Multi-entity or healthcare payroll experience
  • FPC or CPP certification
  • Equivalent payroll experience will be considered

Responsibilities

  • Collect, verify, and process bi-weekly/semi-monthly payroll for all entities; enter hours, salaries, adjustments, PTO, and deductions with precision.
  • Process new hire setup, terminations, pay rate changes, garnishments, and direct deposit updates in the payroll system.
  • Prepare and submit federal and Florida payroll tax deposits and filings (Form 941, FUTA, SUTA); reconcile tax accounts monthly.
  • Manage W-2 preparation and distribution; assist with year-end payroll close in coordination with the SSA and external CPA.
  • Reconcile payroll registers to general ledger each pay period; prepare payroll summary and labor distribution reports.
  • Respond to employee payroll inquiries accurately and within established timeframes.
  • Assist with month-end close payroll accruals and other duties as assigned by the SSA.
