About The Position

The Accounting Representative is responsible for owning the Company's Sales Tax Exemption Certificate Program, ensuring exemption certificates are collected, reviewed, maintained, and monitored in support of ongoing tax compliance. As the primary point of contact for exemption certificate management, this role works closely with customers and internal stakeholders to maintain accurate records, support audits, and drive compliance with applicable sales tax requirements. In addition, the role supports the accounts payable function. Additional responsibilities may be assigned to support the broader objectives of the Finance Team.

Requirements

  • A certificate or diploma in Accounting or Bookkeeping
  • A minimum of two (2) years of relevant work experience
  • Proficient in MS Office, including Excel, Word and Outlook
  • Knowledge of Sage 300 is an asset
  • Strong written, verbal and interpersonal communication skills
  • Accuracy and attention to detail
  • Ability to multitask, adjust to shifting priorities and manage time effectively to meet deadlines in a multiple-deadline environment
  • A strong collaborator with the ability to establish and maintain positive working relationships, both internally and externally
  • Flexibility to support beyond core business hours when necessary

Responsibilities

  • Own the Company's Sales Tax Exemption Certificate Program, ensuring exemption certificates are collected, reviewed, maintained, and monitored in support of ongoing sales tax compliance
  • Act as the primary point of contact for all internal and external Sales Tax Exemption Certificate inquiries
  • Own and manage the Sales Tax inbox, ensuring timely responses and resolution of certificate-related requests
  • Own the execution of the Exemption Certificate Communication SOP, proactively engaging customers through both email and telephone outreach to ensure compliance objectives are achieved
  • Maintain accurate exemption certificate records and supporting documentation for audit and compliance purposes
  • Prepare and distribute bi-weekly compliance reports and maintain related dashboards and performance metrics
  • With support from Controller, update and maintain state-specific exemption certificate reference guides
  • Identify opportunities to improve processes, reporting, and overall administration of the exemption certificate program
  • Ensure outgoing payments are posted both timely and accurately
  • Provide support and coverage for Accounts Payable function, including entering vendor invoices and preparing payment runs
  • Verify and process out-of-pocket (employee) expense reports
