About The Position

This role is responsible for processing accounts payable and receivable, managing payroll for multiple companies, ensuring payroll tax compliance, and providing cross-company support for accounting and payroll functions. The ideal candidate will have experience with various accounting software and systems, strong attention to detail, and excellent communication skills.

Requirements

  • 3+ years of accounting, bookkeeping, payroll, or related experience preferred.
  • Experience with payroll processing, payroll taxes, accounts payable, accounts receivable, and general accounting principles.
  • Multi-company accounting or payroll experience preferred.
  • Proficiency with accounting software, payroll systems, and Microsoft Excel.
  • Strong attention to detail, organization, and problem-solving skills.
  • Ability to handle confidential information with discretion.
  • Strong communication and customer service skills.
  • Valid driver's license, acceptable driving record, and ability to meet insurability standards.
  • Ability to pass a background check and maintain a substance-free work environment.

Nice To Haves

  • Associate's degree in Accounting, Finance, Business Administration, or related field preferred.

Responsibilities

  • Process accounts payable, including invoice coding, approvals, vendor payments, and vendor record maintenance.
  • Manage accounts receivable functions, including customer billing, payment processing, account reconciliation, and record maintenance.
  • Monitor AR aging reports and proactively follow up on past-due accounts.
  • Communicate with customers regarding outstanding balances and coordinate payment arrangements when needed.
  • Assist with month-end and year-end accounting activities, account reconciliations, journal entries, and general ledger maintenance.
  • Support preparation of financial reports, management reporting, budgeting, forecasting, and special accounting projects.
  • Assist with annual reporting requirements, including 1099 preparation.
  • Process payroll for multiple companies and pay schedules, ensuring timely and accurate employee payments.
  • Review and verify timecards, payroll data, earnings, deductions, benefits, accruals, and reimbursements.
  • Process employee payroll changes, including new hires, terminations, wage adjustments, and leave-related updates.
  • Maintain payroll records and respond to payroll-related questions.
  • Assist with year-end payroll activities, including W-2 preparation and reporting.
  • Ensure accurate payroll tax calculations, reporting, and remittance of federal, state, and local payroll taxes.
  • Support payroll audits and maintain compliance with applicable payroll laws and regulations.
  • Work with payroll providers and internal stakeholders to resolve payroll and tax-related issues.
  • Provide accounting and payroll support to multiple companies within the organization.
  • Assist with process improvements, system enhancements, special projects, and other duties as assigned.
