About The Position

This position supports the Museum's daily accounting operations, including accounts payable, accounts receivable, periodic reconciliations, closing activities, and financial reporting. The Accounting Operations Specialist ensures the timely and accurate processing of financial transactions, maintains compliance with accounting standards and internal controls, and contributes to a collaborative, team-oriented work environment while identifying opportunities to improve processes and efficiencies.

Requirements

  • One (1) to three (3) years of academic experience or related experience demonstrating a strong working knowledge of accounting principles and standard financial procedures to perform the essential duties of the position.
  • Proficiency in accounting software; NetSuite preferred
  • Strong attention to detail, accuracy, and organizational skills
  • Ability to adapt, manage multiple priorities, and meet deadlines in a dynamic environment
  • Strong written and verbal communication skills with the ability to build effective relationships with vendors, customers, and internal stakeholders
  • Ability to follow written and verbal instructions, policies, and procedures
  • Demonstrates a positive, adaptable attitude and a willingness to learn and support others
  • Proficient in Microsoft Excel

Nice To Haves

  • Associate’s degree in accounting (preferred) or business
  • Three (3) to five (5) years of accounting experience in a professional or similar setting is preferred.
  • Nonprofit accounting preferred, but not required
  • Experience using AI tools to improve business processes, workflow efficiency, or administrative tasks is preferred, but not required

Responsibilities

  • Process purchase orders and vendor invoices, demonstrating proper document support, review, and approvals
  • Ensure proper account codes are used for expenses
  • Schedule disbursements to vendors, ensuring timely payments
  • Manage vendor accounts, including invoice uploads and payment tracking
  • Reconcile vendor statements and assist in discrepancy resolution
  • Maintain physical and digital vendor files
  • Generate customer invoices in a timely manner, ensuring accurate billing information
  • Apply incoming payments to the correct customer accounts
  • Maintain physical and digital customer files
  • Perform daily reconciliation of museum sales activity
  • Prepare bank deposits
  • Create sales journal entries for general ledger posting
  • Perform monthly reconciliations of accounts payable and accounts receivable
  • Assist with month-end closing
  • Apply internal controls and ensure compliance with accounting standards and regulations
  • Identify opportunities to improve processes while maintaining strong internal controls
  • Use ERP and AP/AR automation tools to streamline processes and improve efficiency
  • Maintain confidentiality and exercise sound judgment when handling financial and sensitive information
  • Must be available to work during the Hall of Fame’s special events throughout the year, including mandatory availability during Hall of Fame weekend, the Hall of Fame’s signature annual event
