About The Position

Coast to Coast Legal Aid of South Florida, Inc. (CCLA) established in 2003 is a Legal Services Corporation (LSC) funded, non-profit organization. CCLA provides free civil legal services to low-income and otherwise eligible residents of Broward County and is located in Plantation, Florida, a suburb of Fort Lauderdale. Our mission is to provide equal justice to underserved communities through quality and innovative free civil legal aid. CCLA provides legal advocacy for individuals in our community, helping thousands of economically disadvantaged residents to gain greater access to justice and much-needed legal assistance to remove barriers to a healthy and stable life. CCLA provides legal assistance in the areas of Family Law & Victims of Crime, Economic Advocacy & Community Health (public benefits), and Senior Law for people age 60 and older. CCLA is currently seeking an Accounting and Grants Manager to be responsible for overseeing critical aspects of the organization's financial operations and grant administration. This position ensures accurate accounting practices, effective internal controls, compliant grant management, and timely financial reporting to support strategic decision-making and organizational sustainability.

Requirements

  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
  • Minimum of five (5) years of experience in nonprofit accounting, grant financial management, or a related field.
  • Strong knowledge of GAAP, nonprofit fund accounting, and multi-grant funding environments.
  • Advanced proficiency in Microsoft Excel and experience with accounting software systems.
  • Demonstrated experience with audits, financial reconciliations, and financial reporting processes.
  • Exceptional attention to detail with the ability to maintain accuracy in financial reporting and grant administration.
  • Strong analytical and critical thinking skills with the ability to interpret financial data and identify issues or trends.
  • Excellent organizational skills and ability to manage multiple grants, projects, and deadlines simultaneously.
  • Effective written and verbal communication skills, including the ability to prepare reports and communicate financial information to various stakeholders.
  • Strong problem-solving abilities and sound judgment in resolving financial, compliance, and operational issues.
  • Ability to collaborate effectively with internal staff, funding agencies, auditors, and external partners.
  • Demonstrated ethical judgment, discretion, and commitment to maintaining confidentiality and financial integrity.
  • Proven ability to prioritize work, manage competing deadlines, and work independently with minimal supervision.
  • All applicants must pass a background check before employment begins.

Responsibilities

  • Manage all aspects of grant compliance, including reporting deadlines, required documentation, and maintenance of grant files.
  • Assist the CFO with preparation of grant proposal budgets, forecasts, financial recaps and reports.
  • Prepare and submit timely grant invoices, monthly journal entries, and monthly/quarterly/annual financial reports to grantors.
  • Monitor grant expenditures and budgets, reconcile grant-related general ledger accounts, identify available balances, and ensure proper allocation of payroll and other costs to funding sources.
  • Develop grant summaries and compliance schedules.
  • Maintain grant tracking databases and generate reports from case management systems to support monitoring, evaluation, and performance reporting.
  • Ensure compliance with federal, state, local, and private grant requirements.
  • Review general ledger activity to ensure accuracy, completeness, and proper coding in accordance with organizational policies and grant requirements.
  • Assist with monthly, quarterly, and year-end close processes, including preparation of reconciliations and financial schedules.
  • Perform and/or review reconciliations for bank accounts, trust accounts, accounts receivable, accounts payable, fixed assets, and other balance sheet accounts.
  • Maintain strong internal controls and documentation standards to ensure compliance with Generally Accepted Accounting Principles (GAAP) and grantor regulations.
  • Prepare audit schedules, gather supporting documentation, and serve as a liaison during external audits and grant monitoring visits.
  • Manage contract billing and ensure expenditures align with approved grant and contract budgets.
  • Support the preparation of financial statements, management reports, and budget analyses.
  • Become familiar with CCLA’s case management, payroll, and time keeping systems.
  • Assist with special projects and other accounting, finance, and grant-related duties as assigned.
  • Maintain accurate, contemporaneous timekeeping.
  • Assist with procedures and policies in the areas of accounting, grants management, case management, and grant compliance.
  • Attend relevant compliance and financial trainings, develop expertise with respect to grant conditions and compliance requirements.
  • Provide support and training to staff regarding grant compliance and financial procedures.
  • Performs all other duties as assigned and/or requested by CFO, Executive Director, Management Team, Supervisors, or as required by grant(s).
