About The Position

The Accounting Deal Clerk and Biller is responsible for reviewing deals for accuracy, scanning all deal paperwork into Reynolds and Reynolds (our dealer management software), and posting and billing deals. This role also involves preparing daily reports for missing funds or documents, communicating with sales managers or F&I to correct errors, submitting deals and payoffs to lenders, and ensuring compliance with state, dealer, and lender requirements.

Requirements

Previous experience in accounting or finance, preferably in an automotive dealership setting.
Experience with MS office (Excel preferred).
Familiarity with accounting principles, basic mathematical concepts, financial reporting, and dealership operations.
Strong attention to detail.
Excellent organizational skills.
Effective communication skills, both written and verbal.
Ability to interact professionally with customers and colleagues.
High school diploma or equivalent.
Ability to identify and resolve discrepancies and issues in a timely manner.

Nice To Haves

Proficiency in Reynolds and Reynolds Software is a big plus.
Additional coursework or certification in accounting or finance is a plus.

Responsibilities

Review deals for accuracy, verifying correct information is used on all paperwork (buyer's order, retail/lease contracts, tilting documents, payoff information, rebates, forms, and signatures.)
Scan all deal paperwork into Reynolds and Reynolds, our dealer management software, while ensuring all documentation is included and compliant with dealership and regulatory requirements.
Post and bill deals into Reynolds and Reynolds.
Prepare and maintain daily reports for missing funds or documents to share between the accounting, finance, and sales departments.
Address any and all discrepancies, missing paperwork, or corrections, with sales managers or F&I to correct any errors before billing.
Submit deals and payoffs to lenders with high accuracy and track funding status.
Ensure compliance with state, dealer, and lender requirements.
