About The Position

The Accounting Data Entry Clerk is responsible for accurately entering, updating, and maintaining financial and accounting information within company systems. This position supports the Accounting Department by processing high volumes of financial data, verifying information for completeness and accuracy, maintaining organized documentation, and assisting with routine accounting and administrative functions. The ideal candidate is dependable, highly detail-oriented, organized, and comfortable performing repetitive data-entry tasks while maintaining a high level of accuracy and confidentiality.

Requirements

  • High school diploma or GED.
  • Strong data-entry and keyboarding skills.
  • Strong attention to detail and commitment to accuracy.
  • Basic mathematical skills.
  • Working knowledge of Microsoft Excel, Outlook, and Word.
  • Ability to learn accounting software and company systems.
  • Ability to follow established processes and written procedures.
  • Strong organizational and time-management skills.
  • Ability to manage repetitive, detail-oriented work while maintaining accuracy.
  • Ability to work independently and meet established deadlines.

Nice To Haves

  • Previous experience in data entry, bookkeeping, accounting, accounts payable, or administrative support.
  • Associate degree or coursework in Accounting, Finance, Business, or a related field.
  • Experience using QuickBooks, Sage, NetSuite, or similar accounting software.
  • Experience working with high-volume data or transaction processing.

Responsibilities

  • Enter financial transactions, invoices, payments, expenses, and other accounting information into company systems accurately and timely.
  • Review source documents for completeness and accuracy before entering information.
  • Verify entered data against invoices, reports, receipts, and other supporting documentation.
  • Update existing accounting records and correct data-entry errors as identified.
  • Maintain accurate coding, dates, amounts, vendor information, and other required transaction details.
  • Process high volumes of accounting data while maintaining accuracy and productivity expectations.
  • Identify missing, incomplete, or inconsistent information and escalate discrepancies to the appropriate team member.
  • Assist with entering and maintaining vendor and account information.
  • Organize, scan, upload, and maintain financial documents and supporting records.
  • Assist with invoice processing and other routine accounts payable functions as assigned.
  • Assist with credit card transaction entry and supporting documentation.
  • Support basic account and transaction reconciliations.
  • Assist with preparing spreadsheets, reports, and accounting documentation.
  • Retrieve financial records and supporting documentation when requested.
  • Assist the Accounting Department with month-end and year-end activities as assigned.
  • Perform general administrative duties in support of Accounting operations.
  • Maintain organized electronic and physical accounting records.
  • Review completed work for accuracy before final submission or processing.
  • Follow established naming, filing, and documentation procedures.
  • Maintain complete supporting documentation for accounting transactions.
  • Promptly report discrepancies, duplicate entries, missing documentation, or other potential errors.
  • Meet established productivity and accuracy standards.
  • Follow established accounting procedures, internal controls, and company policies.
  • Protect confidential company, employee, vendor, and financial information.
  • Maintain appropriate security when accessing financial systems and records.
  • Follow established approval processes and escalate transactions requiring additional review.
  • Report unusual transactions or documentation concerns to the Accounting Supervisor.
