About The Position

The Accounting Coordinator will work closely with the entire Accounting Department to coordinate and monitor the activities within the department, and work as a point of contact between accounting and other departments within Hampton Roads Transit. The incumbent must meet multiple demands on a timely basis and be able to work independently on tasks. Relies on experience and judgment to plan and accomplish goals.

  • Possession of a High School diploma or GED certificate.
  • Accounting or bookkeeping courses.
  • A minimum of 2 years’ experience in finance/accounting department with demonstrated is required.
  • Possess a valid Driver's License.
  • Acquire a Virginia Driver's License within 60 days after the date of hire (in instances when an out of state license is not the applicant's current state of residence).

Responsibilities

  • Act as liaison between Finance and other departments, conducting training classes on requisitions and related accounting tasks.
  • Creates purchase requisitions for accounting, budget, and revenue services.
  • Responsible for monthly updates of the Financial Dashboard and maintaining intranet financial related posts, i.e., Financial Related Forms, Policies and Procedures, etc.
  • Assists in the preparation of correspondence related to the financial and administrative activities of the Department, as required to meet the needs of HRT management and the FTA.
  • Provides administrative assistance with establishing or revising accounting procedures to conform to federal or state laws and generally accepted accounting principles.
  • Creates updates and maintains operating manuals of policies, functions, and projects within the Accounting Department.
  • Maintains files; schedules and makes arrangements for meetings as required; maintains executive calendar, and calendars for other designated meeting rooms for MFAC.

  • Responsible for scheduling of Committee meetings, preparation of Committee packet materials, liaison activities with Commission and staff management.
  • Evaluates existing administrative procedures and make recommendations for improvements.
  • Provides administrative support to the MFAC/ABRC Committee which includes preparing meeting notices and agendas for regularly scheduled meetings of the Committees, meeting set-up, recording, and transcribing meeting minutes, maintaining Commission files and other public documents.
  • Responsible for ordering, monitoring, maintaining and distributing of office supplies for the Budget/Finance Management departments.
  • Works closely with Director/Assistant Director of Finance on special projects.
  • Assists in monitoring monthly reporting of KPIs or other business performance indicators for assigned business units.
  • Performs other duties as required and work required overtime to achieve company’s goals.
  • Manage records created and received in compliance with the Hampton Roads Transit Records Management Policies and Procedures.
  • Serve as the Departmental Records Coordinator with responsibility for organizing and maintaining departmental files in accordance with all of HRT’s Records Management Policies and Procedures; preparing documents for imaging by designating file code information and forwarding to Records Management; maintaining (archiving/storage) and disposing of records in accordance with the approved HRT Records Retention and Disposition Schedules; attending regular information and training meetings; and providing information to the department Chief Officer and all department members on records management including paper, electronic records, photos, news articles, and other items.
