About The Position

Stanbridge University is seeking a highly organized and detail-oriented Accounting Clerk to join our Accounting Department. This position supports the University’s day-to-day accounting operations, including accounts payable, payroll processing, purchase orders, financial transaction processing, account reconciliations, and financial record maintenance. The successful candidate will possess strong accounting fundamentals, proficiency with QuickBooks Desktop and Microsoft Excel, and the ability to work accurately in a fast-paced, deadline-driven environment. This role regularly handles sensitive and confidential financial information and requires professionalism, discretion, sound judgment, and exceptional attention to detail. This is a full-time, on-site position located at Stanbridge University’s Irvine, California campus.

Requirements

  • Minimum of two (2) years of general accounting experience
  • Associate degree in accounting, finance, business administration, or a related field preferred
  • Strong working knowledge of accounting principles and general accounting processes
  • Demonstrated experience with accounts payable and financial transaction processing
  • Payroll processing experience strongly preferred
  • Proficiency with QuickBooks Desktop required
  • Strong proficiency with Microsoft Excel, including PivotTables, lookup functions, formulas, and financial data management
  • Proficiency with Microsoft Word and other standard business applications
  • Strong numerical aptitude and ability to work accurately with financial and quantitative data
  • Exceptional attention to detail and commitment to accuracy
  • Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines
  • Ability to identify, research, and resolve discrepancies with appropriate attention to detail and follow-through
  • Ability to work effectively in a fast-paced, deadline-driven accounting environment, including during periods of increased departmental workload
  • Strong verbal and written communication skills
  • Demonstrated professionalism, discretion, and sound judgment when handling confidential and sensitive information
  • Ability to work collaboratively and effectively with colleagues, vendors, and other University stakeholders

Responsibilities

  • Process bi-monthly payroll accurately and in accordance with established deadlines and procedures
  • Perform accounts payable functions, including reviewing, processing, and recording invoices and payments
  • Maintain and support the University’s purchase order processing system
  • Process and record financial transactions, including accounts payable, accounts receivable, and general ledger entries
  • Reconcile bank statements, accounts, and financial records and investigate discrepancies to ensure accuracy and completeness
  • Assist with the preparation of financial reports, including balance sheets, income statements, cash flow statements, and other internal accounting reports
  • Maintain accurate, complete, and well-organized financial records and supporting documentation
  • Assist with budgeting and forecasting activities as directed
  • Utilize QuickBooks Desktop and other financial systems to enter, maintain, retrieve, and report financial information
  • Utilize Microsoft Excel, including PivotTables, lookup functions, formulas, and other tools, to organize, analyze, and reconcile financial data
  • Communicate professionally with vendors, employees, and internal departments to research and resolve invoices, payments, account discrepancies, and other financial matters
  • Assist with audit preparation, compliance activities, and documentation requests
  • Protect confidential and sensitive financial, payroll, employee, and institutional information
  • Provide accounting and administrative support to the Accounting Department and other University departments as needed
  • Perform additional duties and special projects as assigned
