About The Position

The Part-Time Accounting and Payables Clerk is responsible for supporting the accounting team with a primary focus on accounts payable functions across our four entities. This role ensures accurate and timely processing of vendor invoices, maintains organized financial records, and assists with daily accounting tasks including data entry and reconciliations. The position requires attention to detail, organization, and the ability to collaborate with the accounting team while maintaining confidentiality.

Requirements

  • Strong understanding of accounts payable processes and basic accounting principles.
  • High attention to detail and accuracy.
  • Strong organizational and time management skills.
  • Ability to manage recurring daily tasks efficiently.
  • Proficiency in Microsoft Excel.
  • Experience with QuickBooks Online and bill.com or other high end software required.
  • Ability to handle sensitive financial information with confidentiality.
  • Ability to work collaboratively – team player required.
  • Associate’s degree in Accounting, Finance, or related field; equivalent work experience accepted.
  • Minimum 3 years of accounting required, accounts payable experience preferred.

Nice To Haves

  • Experience in hospitality, restaurant, winery, or multi-entity environments a plus.

Responsibilities

  • Process and code vendor invoices accurately in accounting systems (QuickBooks Online and bill.com).
  • Review, verify, and enter approved invoices for the four entities.
  • Perform three-way matching where applicable (purchase order, receiving, invoice).
  • Reconcile vendor statements and resolve discrepancies in a timely manner.
  • Assist with company credit card coding and reconciliations.
  • Coordinate with the accounting team on invoice approvals and payment processing.
  • Reconcile credit card transactions against POS and bank data.
  • Support monthly accounts payable and bank reconciliations.
  • Provide support for ad hoc accounting tasks and reporting.
  • Collaborate with accounting and operations teams to ensure accuracy and completeness of data.
  • Perform any other duties as assigned by your Manager.
